Job Description

ASM GLOBAL, the leader in privately managed public assembly facilities has an excellent and immediate opening for an Event Coordinator at the DeVos Place. The Event Coordinator coordinates client needs with building staff to assure proper set-up, execution and smooth operation of events.

Essential Duties and Responsibilities include the following:

•Prepare event work orders relative to physical set-up, security, scheduling and distribution to appropriate departments. Provide guidance and supervision to facility staff during events.

•Act as Point Person for clients while adhering to appropriate internal policies, procedures, documentation requirements etc.

•Prepare cost estimates and billings. Provide lessee with updates and changes in cost estimates. Assist with event settlements.

•Assist in obtaining executed lease agreements, rental deposits and proper insurance coverage for all events.

•Oversee event operations, contractors, concessionaires, etc. to assure requirements are addressed and met.

•Coordinate union labor requirements.

•Establish relationships with facility partners and organizations to grow communications with external partners.

•Attend meetings and functions as needed.

•Prepare room diagrams to ensure proper codes are adhered to while satisfying client needs.

•Work closely with DeVos Place sales staff as well as Experience Grand Rapids and the area hoteliers in coordinating events and maximizing client/attendee experience.

•All other duties/responsibilities as assigned.

•Experience in event management preferred.

•Excellent organizational and communications skills required.

•Bachelor's degree in hospitality management or Business preferred.

•Position will frequently require working long hours including nights, weekends, and holidays.

•Working knowledge of computer systems, including Microsoft Windows, Excel, Outlook and CAD preferred.
